Set Up and Take Down

Tent Parent

  • Take attendance, line up swimmers in proper order, and escort them to the Ready Bench Lanes where the Ready Bench Volunteers will assume responsibility.

Judges

  • Pool side with one of the best seats at the pool and observes the swimmers within each heat of the meet to ensure that their strokes are legal according to the SPSC swimming rules. 
  • They also watch for false starts on the relay takeoffs.
  • If they see an infraction, they immediately raise their hand and report to the Meet Director for the swimmer in question.

Timers

Use Time Drops Wireless system and / or manual stopwatch to time swimmers and record time on timing slip after each heat.

Ready Bench

Prior to the meet:

  • Instruct parents on how to line up kids.
  • Get heat sheets from the console and distribute them.
  • Organize the 8U swimmers for their relay events.

During the meet:

  • Ensure swimmers are taken from tents to the Ready Bench.
  • Make sure swimmers are lined up properly on the benches.

Role Description:

Ready Bench Lead:

  • Leads the Ready Bench process.
  • Ensures swimmers are lined up at the staging area near the tents and walks them to the pool deck.

Experience Needed: Some swim team experience (summer or club) preferred.

Ready Bench 1 & 2:

  • Positioned at each end of the pool during relays to ensure swimmers are lined up correctly.
  • Relieve the Ready Bench Boss and Deck Leader for breaks during individual events.

Deck Leader:

  • Receives the lined-up swimmers from the Ready Bench Lead and sends them to the correct pool end.

Concessions

Prior to the Meet:

  • Buy food, drinks, plates, utensils, and any other needed items for the concessions stand.
  • Determine prices and create a menu/price sign for display.

Day of the Meet:

  • Ice Drinks: Ice down sodas and waters in the morning.
  • Coordinate the setup of the stand.
  • Provide instructions to Concessions Volunteers on their tasks.
  • Receive food deliveries (e.g., pizza, CFA) and keep the receipts for record.

Post-Meet:

  • Submit all receipts to the Treasurer for reimbursement.
